Information for Study Abroad Fair Exhibitors

If you are a current faculty-led program director, exchange partner, or UW-approved study abroad provider, you may promote your study abroad programs at the UW Study Abroad Fair. If you fall into these categories, you will have already received an invitation and a form to fill out to register.

What to expect

Exhibitors will be provided with a table in the HUB Ballroom. You may have a table to yourself or you may be sharing it with colleagues from your department if your unit runs multiple programs.
Plan to bring materials to share with students about your program, such as a flier with basic information about the program that a student could take with them. You can include a QR code to your program brochure.
Consider displaying videos or pictures of your program. You can bring a laptop to play a slideshow. You could create a poster board. Keep in mind, bring a fully charged laptop. It’s unlikely you will have access to a power outlet.
Some exhibitors bring things students can interact with – maybe an item from the country they plan to visit. Or a bowl of candy or stickers students can take with them.
Bring a piece of paper so interested students can leave their name and email. You can follow up with them after the fair and send them a link to the program brochure.

Set up

  • Plan to have your table prepared by 10 am.

Lunch

  • UW Study Abroad will provide lunch for all exhibitors. 
  • Lunch will be served around 12pm in the far north room of the HUB Ballroom. 
  • You may want to pair up with colleagues so that you can eat in shifts. 
  • You can also bring food to your table if you wish.

Clean up

  • Plan to have your belongings packed up just after 2pm. 
  • Take all of your promotional materials with you when you go.
