SAGE Finance Transformation Release: July 5-7, 2023

The following message was sent to both the SAGE and MRAM mailing lists on June 22 and details upcoming updates to SAGE Suite alongside expected downtime from July 5 at 5:35 p.m. through July 7 at 6 a.m.

SAGE System Updates

Dear Research Colleagues,

As Workday Finance go-live draws nearer, the Office of Research Information Services (ORIS) is excited to announce new SAGE features will be released on Friday, July 7, 2023.

Please be aware that the SAGE Suite will be unavailable for extended downtime starting Wednesday, 7/5 at 5:35 p.m. through Friday, 7/7 at 6 a.m.

SAGE Suite Systems Unavailable During Release Window

The following systems will be unavailable for the duration of the release window (7/5, 5:35 p.m.-7/7, 6 a.m.):

  • SAGE (System to Administer Grants Electronically)
  • FIDS (Financial Interest Disclosure System)
  • AUMS (Animal Use Medical Screening)
  • SPAERC (Sponsored Projects Administration & Electronic Research Compliance)
  • SERA (System for Electronic Research Accounting) for GCA

Release Highlights

  • SAGE Awards: The new SAGE Awards feature will replace email communication and provide a seamless award setup request process through autofill of eGC1 and SAGE Budget data, and integrations with Workday Finance.
  • SAGE Modifications: The new SAGE Modification form, with a familiar, user-friendly experience in SAGE, will streamline the Award Modification process. Please note that the Modification form will not be available on 7/7 and will be released within a few days following our 7/7 release. Stay tuned for further guidance coming soon.
  • SAGE Central: SAGE Central will provide a centralized view of awards for the Office of Sponsored Programs (OSP) and Grant & Contract Accounting (GCA).
  • Cost Centers: With Finance Transformation, Cost Centers will replace Financial Organization Codes (Org Codes) across the SAGE Suite.
  • Sponsor & Donor Centralized Tracking: SAGE will make use of UW’s new funding entity system for tracking sponsors and donors. If a sponsor is not listed in SAGE, rather than emailing OSP, SAGE users will submit a form (linked from SAGE) to request sponsor setup.
